Rooms are available M-Sat, 8am-5pm and 7-10pm and Sun 1-5pm

Rules and Regulations

• The meeting/facility rental rooms are part of a public museum. Activities are to be contained to the meeting room and not flow to other areas. Noise should be kept at a minimum.

• Museum staff are not available for set-up, but will assist if additional furniture/equipment are needed. All rooms must be left in good order when vacated.

• Museum staff are not responsible for catering/refreshment arrangements, lost or missing catering items/equipment. The organization renting the space is responsible for informing front desk/museum contact if they are expecting catering, and provide a contact number. Groups must ensure caterers pick up their equipment after the meeting.

• Liquor can not be served during open public hours, but is allowed when the museum is closed. Prior permission of the Museum and a Special Occasion Liquor License is required (Class 1), (Class II if selling liquor). License applications can be picked up at any Nova Scotia Liquor Store. Provincial Laws require that the Liquor License be posted in plain view.

• Smoking is not permitted in the Museum or near public entrances

• The Museum is a scent-free environment

Entering the Building
When the Museum is open to the public, please use the main entrance, unless you are familiar with lower level and informed about where you are meeting. At other times, use the side entrance just off the visitors parking lot (South Side).

Parking (Pay and Display)
Parking is available for renting organizations in the visitor parking lot, located on the south side of the building. The Pay and Display machine takes coins only. Price $1.50/hour (Lot is monitored 7 days a week/24hrs a day).

Liability
The Museum will not assume liability for personal injury, loss, theft, or damage to equipment resulting from actions of any person or group renting museum facilities.

 

Gallery/Special Event Rental Regulations and Considerations

Hours/Availability
The Gallery and Foyer are generally only available when the museum is closed to the public. There are times when the Gallery and Foyer are not available due to exhibit installation and removal.

Set-up Considerations

Set-up Times
Set-up/decorating may be permitted before the Museum while the Museum is open to the public based on the following considerations:
• Museum visitors are able to move throughly and freely through the exhibit areas. Exhibit can not blocked, hidden or obstructed by equipment, tables, etc.
• Food may not be laid (due to risk  of being eaten by the public)
• Alcohol is not permitted in public view during regular Museum hours

The Museum Can Supply
• Tables and chairs- limited number of tables and chairs. Availability may vary.
• Special programs and Museum tours (by prior arrangement and individually priced)
• One security guard is on duty during the event. We will supply an additional staff person for most events to assist caters, etc at an additional cost.

You and Your Caterer must Supply
• Tablecloths, glassware, china, etc.
• Any special equipment, such as projectors, video equipment, additional lightening. Museum equipment may be available. Please refer to the Equipment Rental Information and Fees if you wish to use Museum equipment.
• Entertainment. Note: the Museum is a SOCAN member. Renter is responsible for all SOCAN tariffs.
• Extension cords for coffee percolators, entertainment equipment, etc.

 

Booking Your Meeting or Event

The Museum hopes that your event is a success. Please read all the requirements and equipment information carefully before booking to ensure your event and our space are a good match. If you have any questions or would like to view the space before booking, please contact us to make arrangements.

When you request a booking, the Museum will send you a rental agreement for review and signature. At this time, your booking will be considered tentative until a signed copy of the agreement is returned (by fax or mail). Although we consider the booking tentative, the space will not be offered to any other parties. A deposit may be required for first time renters.

Payment for Gallery/Special Events must be received prior to or on the day of the event. Room rental payments must be received two weeks following the booking. The agreement you sign to confirm your booking includes payment information. An invoice will only be generated upon request.

Prices quoted do not include HST.

Cancellation Policy: Cancellation must be received 48 hours prior to booking date. If not, the organization renting will incur a $25 cancellation fee. Cancellations due to inclement weather are exempt.

Equipment Rental Information / Fees

Use following equipment is available for facility rentals without additional charges:
• White board/markers (Boardroom only)
• Flip chart/Easel (2nd easel and paper available at $15 charge)
• Internet Connection
• Microphone (Auditorium only. Fixed to podium)
• Chalk Board (Auditorium and Project Room only)

Additional equipment is available at a charge of $15 per unit
• Slide Projector
• TV/VCR (all rooms) / Video Projector (Auditorium only)
• Overhead Projector
• 2nd Flip chart/easel

Room-set/equipment considerations

The Museum can not supply extension cords or computer cords for facility rentals. Extension cords may be needed if you plan to plug in computer/projector or entertainment equipment. The Museum can not supply technical support for equipment  that the renting party brings to the Museum.

Tables/Chairs

Renting organizations are responsible for room-set up for the meeting/event. Please advise us how many tables and chairs your require on the rental agreement. There may be other programs also requiring use of tables on the day of your meeting. We want to ensure that we can accommodate everyone’s needs or inform you if additional equipment is required.
